Privacy Policy

Who we are
Premier Golf Solutions and Premier Restaurant Solutions are two names for one piece of software made by Luma Tech Digital LLC(“we,” “us,” or “our”), a company in Wisconsin, USA. A golf course sees the first name; a restaurant or bar sees the second. This Privacy Policy covers both. It explains what we collect, why, who we share it with and what you can do about it when golfers, customers, venue staff and venue owners use our tee-time booking, point-of-sale, ordering and messaging services (the “Services”).
The venue you book with, order from or work for (a golf course, restaurant or bar) is our customer. It decides what it uses the Services for and is responsible for its own use of your information; we process that information on its behalf, under the Data Processing Addendum that forms part of our agreement with every venue. Where we decide for ourselves how information is used — our own website, our accounts with venues, our own records — we are responsible for it directly.
What we collect
If you are a golfer or a customer
- Your name, email address and mobile phone number, when you book a tee time, place an order, create an account or give them to staff at the counter.
- Your booking, order and tab history at that venue: dates, tee times, what was ordered, amounts paid, tips, refunds, house credit, season passes and gift-card use.
- If you save a card, a reference to it: the card brand, the last four digits and Stripe’s identifier for the saved payment method. The card number itself is entered into and held by Stripe. We never see or store it.
- Whether you ticked the box to receive text messages, and when you agreed to our Terms and this policy.
- Scores you or a playing partner enter on the digital scorecard.
- If you sign in with Google, the email address and name on your Google account. We do not receive your Google password or anything else from your Google account.
If you work at a venue
- Your name, email address and mobile number, as given by you or by the venue that added you.
- A hash of your register PIN (never the PIN itself), your clock-in and clock-out times, breaks, the pay role and hourly rate the venue set for you, tips attributed to you, and corrections a manager made to your hours, with who made them.
- A hashed password for your login, and which venues your login belongs to.
- Your alert preferences, and the sales you rang up (attributed to you by name on the venue’s records).
If you own or manage a venue
- Your venue’s business details: name, address, tax settings, rates, menu, settings and the identifiers Stripe assigns to your connected account and your subscription.
- Your own contact details as the person who signed up, and the details you enter on our pricing form if you asked for a quote.
From everyone
- Basic technical data needed to operate the Services and keep them secure: IP address, browser type and server logs. We keep these for troubleshooting and abuse prevention, not for profiling.
Why we use it
- To take, confirm, remind you about and cancel tee-time bookings.
- To take orders, run tabs, process payments and issue receipts.
- To send transactional messages you asked for: booking confirmations, reminders, order-ready texts, receipts and sign-in codes.
- To run the venue’s back office: the tee sheet, the register, time clock and payroll export, reports and alerts to its managers.
- To bill venues for their subscription and answer their support requests.
- To keep the Services secure, to prevent fraud and abuse, and to meet our legal and accounting obligations.
We do not use your information for advertising, we do not build profiles of you across venues, and we do not use it to train artificial-intelligence or machine-learning models.
Cookies
We use only the cookies the Services need to work. None of them track you across other websites, and we run no analytics or advertising trackers of any kind.
| Cookie | What it does |
|---|---|
| glf_sess | Keeps a golfer or customer signed in to their account at one venue for up to seven days. |
| legacy_device | Marks a front-desk computer or tablet that a venue owner has trusted, so staff can open the register with a PIN. Expires after 90 days; the owner can revoke it at any time. |
| legacy_shift | A staff member’s current shift on a trusted device. Expires after 14 hours. |
| authjs.session-token | Keeps a venue owner, manager or staff member signed in to the admin and the register (prefixed __Secure- on the live site). |
The booking widget and the ordering page may also keep a basket or a chosen tab in your browser’s own storage so you don’t lose your place. That stays on your device and is never sent to us.
Who we share it with
We share information with the venue you deal with, because the booking, order or job is with them. Beyond that, we share it only with the service providers below, who process it for us under contract and only to provide their service. We do not sell personal information, and we do not share mobile phone numbers or SMS opt-in data with anyone for their own marketing.
| Provider | What for | Where |
|---|---|---|
| Stripe, Inc. | Card payments, card-on-file, in-person readers, venue payouts (Stripe Connect) and venue subscription billing (Stripe Billing). | United States |

We may also disclose information when the law requires it, to protect the safety or rights of a person, or as part of a sale or merger of our business, in which case this policy continues to apply to it.
SMS / text messaging
When you opt in to text messages during booking, Luma Tech Digital LLC (Premier Golf Solutions) sends transactional SMS relating to your tee time, including booking confirmations, reminders, and cancellation confirmations.
Mobile information — no sharing.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Mobile opt-in data and consent are never shared with any third party. Information may be shared with subcontractors who provide support services (such as our messaging and payment processors) solely to help us deliver the Services, and never for their own marketing.
Message frequency.
Message frequency varies based on your booking activity. You may receive a confirmation at the time of booking, one or more reminders before your tee time, and a confirmation if you cancel — typically 1–5 messages per reservation.
Rates.
Message and data rates may apply.
Opting out and help.
You can opt out of text messages at any time by replying STOP to any message. For help, reply HELP or contact us at info@legacygolfsystems.com. Consent to receive text messages is not a condition of booking or of any purchase.
How long we keep it
Your account and contact details: until you delete your account or ask us to, or until the venue closes its account with us. Bookings, orders, tabs and payments are the venue’s financial records; they are kept for as long as the venue’s agreement with us and tax law require, and if you delete your account they stay with the venue’s records without your name on them. Staff time and pay records are labour records and are kept for as long as the venue needs them for payroll and the law requires. Technical logs are kept for a short period for troubleshooting and then discarded.
Your rights and choices
Golfers and customers can do the following themselves, from the account page of any venue they have an account with:
- See and correctyour name and email under “Your details”, and remove or replace your saved card under “Payment”.
- Download your dataas a file, under “Your data”: your details, consents, bookings, orders, payments, your card’s brand and last four digits, and your scored rounds.
- Delete your account, under “Your data”: your name and contact details are removed from your account and from your bookings, orders and scorecards at that venue, your saved card is removed, and you are signed out. Your purchase history stays with the venue’s records without your name on it.
- Stop texts by replying STOP to any message, and stop alert or report emails with the unsubscribe link at the bottom of each one.
For anything else — a request about information a venue holds about you as a member of its staff, a correction we can’t make from the account page, or a question about this policy — email info@legacygolfsystems.com. Where the request concerns information a venue controls, we will pass it to the venue and help them answer it. Depending on where you live, you may have further rights under local law, including the right to complain to a supervisory authority; we will honour them.
Children
The Services are not directed at children under 13, and we do not knowingly collect personal information from them. A junior rate on a booking is chosen by the adult making it. If you believe a child has given us information directly, email info@legacygolfsystems.com and we will remove it.
Security
Information travels to and from the Services over encrypted connections, is stored in an encrypted database that only the application and our administrators can reach, is separated venue by venue at the database level, and card numbers never touch our systems at all. No method is perfect, and we do not claim a particular certification; if something goes wrong we will tell the affected venue without undue delay so it can tell you.
Changes to this policy
When we change this policy we update the date at the top and, for a change that matters to you, tell venues by email so they can tell their customers and staff. The edition you agreed to is recorded with your consent.
